What is Report Writing?

Report Writing is an indispensable part of Class 11 English and Class 12 English Exams of English. It narrates the whole accident/incident or an event happened anywhere in any of the state or country. To make it easier to understand, we have written a report each on Train Derailment, Report on Event and Report on Accident. Let’s have a look at the these reports given below and figure out the ways to write them perfectly.

Report Writing Format 

In the CBSE Class 12 English Board and Class 11 English Examination, there are two types of reports which are frequently asked. These are a newspaper report and a magazine report. A newspaper report is one that is printed in a paper whereas a magazine report is most often written for a school magazine. It comes in choice with Article Writing, Speech Writing and Debate Writing. Format of Report Writing is given below.

Format of Report Writing

  1. Headline– A brief but eye-catching title
  2. By line- Name of the person who is writing the report (Usually given in the question/heading)
  3. Brief Introduction – Briefly elaborate the account of the event/accident etc. (Must have answers of What, When, Where, Why, How, Who…)
  4. Conclusion– This include how the event/incident ended. 

Marking Scheme of Report Writing 

The word limit for writing a report lies between 120-150 words. It will carry 5 marks in Class 12 Board Term 2 Examination. Marking Scheme of Report Writing is given below.

Features of a Good Report

  1. A good report is brief and it adheres to the topic.
  2. It provides relevant information.
  3. It is logical and coherent.
  4. It has answers of questions begin with WH Family such as; What, When, Where, How etc.
  5. It has appropriate conclusion.

Tips for Writing a Good Report

  1. Use formal but simple language
  2. Avoid writing at a stretch. Make paragraphs to make it interesting.
  3. Have a good hold on Past tense (Both Active & Passive Voice) for most of the reports are asked to be written elaborating a past event/accident/incident.
  4. Read as many reports as you can before putting pen to paper.
  5. Make it presentable, write it neatly and clearly.
  6. Use Active and Passive Voice in 70:30 ratio.
  7. Avoid writing long sentence. Make small sentences.
  8. Take care of punctuation.

Question 1 : Delhi Public School celebrated its 38th Annual Function with pomp and show. Being a newspaper reporter, write a report in about 120-150 words describing the whole event. You are Mayank Yadav/Neetu Yadav.

8th February, Rewari : Delhi Public School celebrated its 38th annual function with pomp and show yesterday in its sports compound. For such a magnificent evening, the entire school was adorned with white and red ribbons which was sheer pleasure to eyes. The theme of that function was ‘Rainbow’ representing the unity among all the nations of this world. Mr. Ram Bilas Sharma (Former Education Minister, Haryana) was invited as a chief guest who was welcome warmly on his arrival by the Director of the school. The function began with the welcome note of school’s Director Mr. Prashant Yadav who not only greeted the distinguished guests but thanked the parents for reposing their faith in the management of the school for years.

Post that, School’s annual report was presented by School’s Principal Mrs. Tripti Sharma who highlighted the achievements of the school in past ten years and shared school’s vision for coming years. Later on, many programs were held such as; solo dance, group song, skits etc. But the centre of attraction was the ‘Mime’ performed by class XII students. All the meritorious students were given away the prizes by the chief guest for their continuous efforts.

The function was winded up with the vote of thanks given by School’s Chairperson who facilitated everyone for putting up that great show. It was one of the best functions ever celebrated at Delhi Public School, Rewari.

Question 2 : Your school organised a blood donation camp yesterday in the school hall. Write a report in about 120-150 words for your school’s magazine describing the whole event. You are Mayank Sharma/Neetu Kumari.

Solution :

Blood Donation Camp

Alwar : Last Sunday, our school organized a blood donation camp. For that, the school hall was used. The preparations, such as setting up the beds and sanitizing the area, were done ahead of time. A team of doctors and nurses from the local government hospital arrived on time to collect the blood. The Chief Guest of the Camp was the renowned businessman of Rewari Mr. Ravi Gupta (Owner, Dalmiya Group). He came in time and inaugurated the Camp by cutting the ribbon. Students from our school and other schools participated in the camp along with people from the city.

The Camp lasted until 3 pm. After that, the Chief Guest (Mr. Ravi Gupta) delivered a speech admiring those who had donated their blood for a noble cause. He told the audience that the donated blood would be used to save the lives of people in need of blood. One of the doctors from the team, also addressed the audience, making it clear that blood donation does not weaken donors and they recover soon. Moreover he shed light on facts, myths and various blood groups related information. The camp ended on a positive note.
